Host a Fundraiser

Move health care forward and support a cause that’s meaningful to you and your loved ones by hosting your own private fundraising event. The Foundation can partner with you to provide a pre-event consultation and information you can share with attendees about the specific health care cause you’re supporting. We make it easy for your attendees to donate directly to your area of interest, including through a QR code and private, secure landing page on our website.

The Foundation can help:

  • Provide a pre‐event consultation with you, the Event Organizer.
  • Provide informational material about The Foundation for Barnes‐Jewish Hospital, with enough advance notice.
  • Provide approval of logo – ensure proper reproduction and usage.
  • Help you direct event net proceeds toward areas of special interest or areas of need.
Third-Party Fundraising Guidelines add

Marketing and Promotion
When planning the Fundraising Event, please keep the following in mind:

  • Promotions for the event should reflect that the Foundation is a beneficiary, and not conducting the event (i.e. “a portion of the proceeds from the ABC Event will benefit The Foundation for Barnes‐Jewish Hospital”).
  • All promotional materials related to an event that includes the Hospital and/or the Foundation name or logo must be approved in writing prior to use.
  • Please refrain from using abbreviations or shortened names.  Publicity and promotional materials for the event or promotion should refer to The Foundation for Barnes‐Jewish Hospital.

Event Expenses

  • Expenses incurred for conducting the Third‐Party Event are the responsibility of the Event Organizer and hosting volunteers.
  • Barnes‐Jewish Hospital (the Hospital) and/or Foundation will not be liable for any costs or expenses associated with the Third‐Party Event.
  • The Hospital and/or Foundation will not reimburse or front Event Organizer for the purchase of goods or services for the Third‐Party Event.  No goods or services may be charged to the Hospital or Foundation for any reason.

Event Income

  • The Event Organizer is responsible for maintaining all accounting for the Third‐Party Event.
  • If the Event Organizer is a 501(c)(3) charitable organization, a single check payable to The Foundation for Barnes‐Jewish Hospital is preferred.  In this case, the Event Organizer is responsible for providing donors to the Third‐Party Event a tax deductible acknowledgement letter in accordance with IRS and state tax regulations.
  • If the Event Organizer is not a 501(c)(3) charitable organization, then Event Organizer and Foundation will agree in writing, in advance of the Third Party Event, on how the donation(s) will be made.
  • Event Organizer agrees to inform the Foundation of any effort to solicit any donations for the Third‐Party Event, including but not limited to, underwriting, sponsorship, or in‐kind gifts such as food, printing services, etc.
  • Third‐Party Event proceeds should be submitted to the Foundation within 30 days after the event to receive proper recognition and tax acknowledgement unless a mutually agreed upon date is determined by the Foundation and the Event Organizer.

Event Insurance and Liability

  • The Event Organizers are responsible for obtaining any necessary permits and clearances required by local and state government and complying with all applicable laws, and also obtain appropriate liability and personal injury insurance coverage as necessary.
  • The Hospital and Foundation cannot be held liable for details associated directly or indirectly with the Third‐Party Event, including, but not limited to expenses, purchases, insurance or liability coverage.

Due to federal regulations and Hospital policy, the Foundation is unable to do the following:

  • Assist in soliciting donations, handling mailings, attending committee meetings, recruiting attendees, and collecting monies.
  • Provide the Foundation’s tax‐exempt number for making any purchases related to your event.
  • Offer up front, startup funding or reimbursement for expenses.
  • Provide assistance with marketing or promoting your Third‐Party Event.
  • Assume responsibility of any nature or kind associated directly or indirectly with the event, including, but not limited to, expenses, purchases, insurance or liability coverage.
